Contract cleaning of communal areas

With communal area cleaning the client is not one person but a whole building association. So doing the work well is not enough on its own. The people who live there need to know what was done and when, so there are no disputes at the residents' meeting later.

Every visit is logged, and at the end of each month the building manager receives a report on the work done. The schedule is fixed in the contract: specific days, specific floors, specific tasks.

The price is based on the number of flats rather than floor area. That makes the sum clear and easy to divide between owners, and buildings with the same number of homes pay the same.

Every visit is logged. At month end the manager has a report ready to show the residents' meeting, instead of explaining verbally what has been done.

Residents know when we come. The weekdays are written into the contract and do not change from month to month.

Contact points disinfected

Handrails, intercom, lift buttons. In winter these are the busiest surfaces in the entire building.

Someone always turns up

During holidays or illness we send a replacement. The entrance is not left uncleaned for two weeks because one person is unwell.

We work with managers too

If the building has a professional manager, communication runs through them. If not, we work directly with a nominated owner.

Advice for building managers

The most common reason for changing contractor is a lack of clarity. If residents do not know what was done and when, every bit of dirt is read as a failure to deliver.

Ask any contractor for two things: a schedule by day, and a monthly report. Print them and pin them on the notice board where everyone can see them. The meetings get noticeably shorter.

Worth knowing

How many visits are needed

For an entrance without a lift and up to 16 flats, two visits a month are usually enough. Where there is a lift, children and pets, or a commercial unit on the ground floor, four visits is the minimum for keeping the place clean and stopping rubbish from piling up.

Autumn and winter are dirtier, with leaves, mud and road salt off the street. So the contract allows for cleaning more often then, usually four times a month from October to March. Two visits are enough for the rest of the year.

How the decision gets made

Choosing a cleaning contractor for communal areas is a decision of the residents' meeting and is recorded in the minutes. So the quote states it plainly: price per flat, price per entrance, how many visits it covers and what exactly gets done.

Payment is usually by bank transfer from the association's account against an invoice. Collection by the manager is possible, but transfer is more transparent and reduces disputes.

What affects the price

  • The number of flats, that is the main thing, not floor area
  • Number of floors and whether there is a lift
  • Floor type, terrazzo, porcelain tile and marble are maintained differently
  • Whether there are basements and surrounding outdoor areas
  • A commercial unit on the ground floor, which brings people in off the street
  • Visit frequency and any seasonal split

Frequently asked questions

How often do you come?

Most commonly two or four times a month. The schedule is agreed with the building association and written into the contract with specific weekdays.

How is payment handled?

Usually by bank transfer from the association's account against an invoice. Collection by the manager is possible, but transfer is more transparent.

Do you maintain the grounds too?

Yes. For buildings with outdoor areas we can include sweeping, leaf clearance and basic grounds maintenance as an annex to the contract.

Do you do snow clearance?

It is not part of the standard contract, but it can be agreed separately as a seasonal annex for December to February.

Who provides access to the building?

The association provides a key or fob. Access is described in the contract, and the list of people using it is by name.

What if one of the residents is not happy?

Reports come through the building manager. We usually respond by the next scheduled visit, and for anything more serious we come back at no extra charge.

Can we trial it for a month?

Yes. We offer a one-month trial, after which the association decides whether to continue. No penalty if you do not.
